Madame Illa travels to Cotonou’s port for two weeks to meet a new iron rod supplier. During that time, someone must be able to approve sales above customers’ limits. Sènami Dossou, the cashier, is the person she trusts, but her cashier profile does not include approving orders. Madame Illa does not want to create a new profile for two weeks, or to give Sènami the owner’s access for good. An extra permission solves this. The same steps apply to any business where someone needs one more right for a limited time: a seller covering for a manager, an accountant finishing a declaration.

Who works where

Extra permissions exist for members and for agent accounts, in the company, the organization and client accounts. Madame Illa gives Sènami hers in the company. At Cabinet Hounkpatin, Afiavi Hounkpatin does the same for an agent such as Comlan Adjovi. The rules name the differences.

Give the permissions

Madame Illa opens Grant extra permissions to member for Sènami. She picks the permission to approve orders and sets the date she is back, for example the end of the month. Until then, Sènami has it on top of her profile. Her profile and her active state do not change. For an agent, the action is Grant extra permissions to agent. It also leaves the agent signed in.

See what a person holds

Before giving something more, Madame Illa checks what Sènami already has, with List member extra permissions or, for an agent, List agent extra permissions. The list shows only the permissions given directly with their expiry, not those of the profile. It still shows the ones that have expired, and says so.

Take them back

When Madame Illa is back, she can let the date pass. She can also send an empty list, which removes all the extra permissions of that person at once. To give someone a lasting right, build it into a profile instead: see Define access profiles and roles.

The rules

  • The call replaces the whole set. Permissions you do not list are removed, and an empty list removes them all. To add one permission, send the ones the person already has too.
  • A list holds at most 5 permissions, without duplicates. Each is chosen by its permission group identifier and must exist for the kind of account: the company, client or organization space for members, and the space of the agent account’s kind for agent accounts.
  • The expiry date, when sent, must be later than now. Without it, the permission has no end.
  • Extra permissions apply on top of the profile. They are not part of it, so they do not change the profile or the person’s assignments.
  • Granting is allowed for members with the permission to update members of the space, and for agents with the permission to update agents. Listing needs the permission to view.
  • Only members of the same space manage the extra permissions of agent accounts. An agent account cannot do it.
  • Company, organization and client versions exist for both members and agents, for example Set client member extra permissions and Grant extra permissions to an organization agent.
  • Removing a member from a space also removes their extra permissions in that space, as described in Manage members.
