Three months after the Abomey-Calavi shop opened, Madame Illa wants to know who still has access to her company. Rodrigue Ahouansou, a seller, has left, and a temporary cashier is off for two weeks. She does not want old accounts to stay open, and she does not want to lose the history of what they did. The same steps apply to any business that needs to keep its list of people up to date.

Who works where

Members belong to a space: a company, the organization above the companies, or a client account. Each has its own version of the actions. Madame Illa works in her company, the head of a group in the organization, and a firm such as Cabinet Hounkpatin in the client account of a customer. The rules below name the differences.

See who belongs

Madame Illa opens List members, which shows each member with the email and phone of their account. She can keep only active or inactive members. To see one person, View a member.

Change a name or pause someone

The temporary cashier appears as “temp caisse”. Madame Illa renames her with Update a member. She uses the same action to switch someone off for a while: a deactivated member keeps their account and can be switched on again. Switching someone off also retires the shared accounting links that this person created. They stay revoked after the person is back.

Remove someone for good

When Rodrigue leaves, Madame Illa uses Remove a member. He is no longer a member of her company, and loses the profiles assigned to him there and any extra permission given to him directly. His account stays, because he may belong to other companies, or be invited again later. If you want to give someone access again after a removal, invite them again, as in Invite and onboard members. Removing is not the same as the assignments covered by Assign access to people: removing a profile only takes one profile away from someone who stays a member.

The rules

  • The list is capped at 1,000 per page in the company and client spaces, and at 100 in the organization space.
  • A display name is at most 250 characters, unique in the space ignoring case and surrounding spaces, among the other members and the pending invitations. The member’s own name is ignored.
  • The owner of the company, client or organization cannot be removed, and cannot be deactivated by someone else.
  • Nobody can remove their own membership.
  • In the company and client spaces, a member who edits their own record cannot change their own active state: the value is ignored and only the name changes. In the organization space, deactivating your own membership is refused, and so is deactivating the owner.
  • Deactivating a member does not delete their profile assignments. It revokes the public accounting export links they created, and reactivating the member does not reopen them.
  • Removing a member deletes their membership, their direct extra permissions and their profile assignments in that space, together with the access grants and notification state of those assignments. The membership is deleted. The account and the memberships in other spaces are untouched. The accounting export links the person created are revoked.
  • In the organization space, removing a member keeps the invitations they accepted, detached from the member.
  • Company, client and organization versions: List client members and List organization members, with the same family of view, edit and remove actions.
