At eight in the morning, Sènami Dossou arrives at the Akpakpa shop of Illa Hardware. Her register holds the cash left from yesterday. She has to start her day with that figure, cash the orders the sellers prepare, correct a mistake if one is found, and say how much money is in the drawer when she leaves. This page follows Sènami through one session. The same steps apply to any shop with a counter, such as a pharmacy or a drinks depot.

Open the register

List registers I can open shows the registers where Sènami is an active cashier and that are closed and unlocked. She picks hers and opens it with Open a cash register session from a computer linked to that register, with the secret of that computer. Setting up the link is explained in Connect cash register computers. The register becomes open, Sènami becomes its current cashier, and a register session starts. Its opening balance is the current balance of the register’s ledger account. She gets a login token tied to this register. Sènami cannot be the current cashier of two registers of the company at once. View my current register reminds her which register she is on.

Cash a sale

List sales waiting for payment shows the pending orders of her register, or without a register, created today. Rodrigue has prepared an order for Michel. Sènami confirms and cashes the sale with Confirm and cash a sale, entering the payments received. Each payment must use a payment method set up on her register (see Set up cash registers). The payments must equal the order total, unless it is a credit sale for a named customer, where the unpaid part becomes the customer’s debt. An order that is awaiting approval cannot be confirmed: Madame Illa approves it first, as described in Take and approve orders. Confirming does several things at once:
  • stock leaves the locations chosen on the order;
  • the sale and the payments are posted in accounting;
  • the order becomes completed and unpaid, partially paid or paid;
  • the invoice is created and shown.
A cheque payment needs a named customer and the cheque details: series, number, bank, drawer and issue date.

Follow the day

Sènami checks her sales with List completed sales. A connected cashier sees only her own sales since her register session opened. Madame Illa, with the permission to list cashing, sees a date range and can filter by register and cashier. List cancelled sales works the same way for cancelled sales.

Cancel a sale

Michel returns because the order was entered twice. Sènami uses Cancel a completed sale. Only the cashier who cashed the sale can do it, during the same register session. A cashier with the permission to cancel past orders may cancel one of her own earlier register sessions. The cancellation reverses the sale in accounting and puts the stock back at its original cost. If the order has a named customer, the money already received on it becomes that customer’s store credit, which a cashier pays back in cash later (see Pay back customers’ store credit). Pending, bounced and written-off payments and cheques are not turned into store credit. Deliveries still in draft or ready are deleted. For a credit sale, the unpaid part is no longer owed. Cancelling a sale of a customer who has since been removed needs its own permission.

Close the register

In the evening, Sènami counts the drawer and closes her session with Close a cash register session, entering the closing balance. It cannot be negative, cannot have more decimals than the currency, and cannot exceed the balance of the register’s ledger account. The register is closed, the register session ends, and she receives a new token without register context. Exowpee records the figure she declares. It does not move the difference to another account.

The rules

  • Only the cashier currently running a register can close it.
  • A register must be closed and unlocked to be opened, and no register session may remain open on it.
  • The computer used to open a register must be active, linked to that register, and its secret must match.
  • Confirming an order needs an open register session of the cashier on the cashier’s register. When payments are sent, the cashier must be active on that register and the register must be unlocked.
  • Opening and closing by the cashier answer a token and not a standard resource.

All the actions of this topic

  • List registers I can open: Lists the cash registers the current member is an active cashier on and that are unlocked and closed, so they can choose which one to open.
  • View my current register: Shows the cash register the logged-in cashier is currently working on.
  • Close a cash register session: The cashier currently running a register closes the session and declares the closing cash balance. The session ends and the cashier context is dropped.
  • Open a cash register session: A cashier opens a register from a linked cash register computer, using the computer’s secret, and starts a register session with the current register balance as the opening balance. Returns a login token tied to this register.
  • Confirm and cash a sale: A cashier finalizes an order by recording the payments received. Stock is taken out, accounting and customer credit are posted and an invoice snapshot is created.

  • List sales waiting for payment: Lists orders waiting to be cashed in. A cashier sees today’s pending orders of their register or without a register; others see a date range.
  • List completed sales: Lists completed sales. A cashier sees only their own sales of the current register session; others see a date range, filterable by register and cashier.
  • List cancelled sales: Lists cancelled orders. A cashier sees only the cancelled sales of their own current register session; others see a date range, filterable by register and cashier.
