Who works where
The catalogue is shared by the whole organization. Products and variants you create are visible to every company of the organization, for example Illa’s two shops. Prices are different: each company sets its own, see Set prices and units of sale.Create a product with its variants
Illa starts with Create a product. She gives the title, the type of product, whether stock is tracked, and the family of units the product is counted in, for example weight for cement or a count for sheets. She lists the options of the product (thickness, length) and one variant for each combination she sells. Every variant has at least one unit of sale, with its SKU and barcode if she has them, and every unit has at least one price. Exowpee creates the product, then one item per variant. When stock is tracked, each item also gets a stock record. Nothing is published automatically.Add a variant later
A month later, Illa buys a new length. She opens the product and uses Add product variants. The new combination of options must not already exist on the product. She checks the result with List product variants or View a product variant. If a variant was entered with a wrong option, Edit a product variant replaces its options, and also changes its weight, volume or linked picture. A variant that was created by mistake is removed with Delete a product variant, as long as the product keeps at least one other variant.Edit the product
To correct the title, the description, the tags or the category, Illa uses Edit a product. Switching tracking on or off applies to all variants of the product. Switching tracking on creates the stock records of variants that had none; switching it off keeps the stock figures already recorded. The family of units, the variants and the images are not changed here.Add pictures
Pictures are most reliably added when the product is created. List product images shows what a product has, and Delete a product image removes one.Find what you can sell
In the evening, Illa wants to know which items she can stock and sell. List items gives product variants and her company’s bundles, filtered by title, SKU, status or tracking. For a screen that searches by product name, option, SKU or barcode, List product variants for stock also includes items that have no stock record. To browse the products themselves, she uses List products and View a product. When the season ends, she sets several variants of one product to archived in a single step with Change status of variants. The rules
- Creating a product needs a title, a type, a tracking choice, a family of units and at least one variant. Every variant needs a unit with at least one price greater than zero, and prices are written in major units with no more decimals than the currency has.
- The handle of a product is unique in the organization. When it is omitted, it is built from the title.
- Two variants of the same product cannot have the same combination of options.
- SKUs and barcodes are unique in the organization when set. Blank values are stored as empty.
- Weight, volume and maximum sellable quantity are sent together with their unit, and the unit must match the kind of measure or the product’s family of units.
- New variants start in the draft status. The other statuses are active and archived.
- Images are jpeg, png, jpg, gif or svg files of at most 2048 KB.
- Uploading pictures to an existing product with Add product images currently ends in an error, although the files are stored and stay attached. Send images when you create the product.
- Products cannot be deleted. Variants and images are removed for good; neither is kept as a deleted record. Deleting a variant does not remove its stock record, levels or stock.
- Adding variants needs both the permission to create variants and the permission to update the product. Tax fields on a variant also need the permission to update item taxes.
- List items only shows items that have a stock record. Items created without stock tracking never get one and do not appear; an item whose tracking was switched off keeps its stock record and still appears.
