Michel Agossou pays 96,000 FCFA by MTN MoMo for twelve roofing sheets at Illa Hardware. An hour later he calls Sènami: the owner of his building site has changed the roof, and he no longer needs them. The sheets have not left the shop, so Sènami cancels the sale. Michel is on another site until Saturday and will collect his money then. Until Saturday, Madame Illa wants a record that the shop owes Michel 96,000 FCFA, and she wants the money he takes on Saturday to come out of the register with a record of who paid it. The same steps apply to any business that cancels a sale already paid and owes the money back to a named customer.

Where the credit comes from

When a cashier cancels a completed sale that has a named customer, the money already received on it becomes store credit for that customer: an amount the business owes them until it is paid back. The cancellation itself is described in Run a register session. Only money actually received counts. Payments that are still pending, bounced or written off are left out, and so are cheques. Credit is kept per currency, in the currency of the sale. Michel’s 96,000 FCFA becomes his store credit. In Illa’s books, the amount is recorded as owed to him. Cancelling the sale gives him his credit once: the same sale never credits him twice.

See what a customer holds

On Friday, Illa checks Michel’s balance with See a customer’s store credit. She sees one balance per currency. List a customer’s store credit movements shows each credit with the sale it came from, and each payment out with its reference and the cashier who made it, newest first.

Pay it back in cash

On Saturday, Michel comes to the counter. Sènami pays him with Pay a customer’s store credit out in cash, from her open register, with its cash payment method. She enters the amount, the currency and a reference, and may add a reason. The cash leaves her register’s cash account in the books, and the movement keeps the register, the cashier and the payment method. Michel paid by mobile money, but his credit is paid back in cash: cash is the only way to pay store credit out, and store credit is not used to pay for a new sale. He may also take part of it now and the rest later; each payment out is a separate movement.

When the customer was removed

A customer who still holds store credit cannot be deleted (see Manage customers). A customer removed earlier can still have a paid sale cancelled, but only by someone with the permission to cancel sales of removed customers. Their store credit can still be viewed and paid out while they hold some.

The rules

  • Store credit comes from cancelling a completed sale with a named customer. Only payments already received count; pending, bounced and written-off payments and cheques do not.
  • Credit is kept per customer and per currency.
  • A payout is made by a cashier whose register is open, with a cash payment method of that register that accepts outgoing money. The register’s cash account must be set up.
  • The amount must be above zero, have no more decimals than the currency, and not exceed the credit the customer holds in that currency.
  • The reference is required and must be unique among the company’s store credit movements.
  • A payout cannot be undone.
  • A customer holding store credit cannot be deleted.
  • Seeing store credit and paying it out each need their own permission.
