Who works where
Location limits are set in a company. Accounting access is set in the organization, because the organization sits above its companies. A company owner works with locations, and a group head works with books.Keep someone away from locations
Madame Illa opens List locations available to my company, which shows the locations shared with her company. She then uses Bar a member from locations to bar Rodrigue’s profile from the warehouse and the damaged goods location. For those locations, Rodrigue is then marked as not eligible, with the reason “restricted”. Nothing changes in stock or in the accounts. She reviews the limits with List location access limits, filtered by location, agent or profile. When Rodrigue is promoted, Lift location restrictions frees the locations again.Open or close the accounting books
Sèdjro opens Grant accounting access for Mahougnon. He chooses the company of Parakou, and Mahougnon can read and use the books of that company. List access grants shows who can reach which books. When the audit is over, Revoke accounting access removes it. For the people themselves, see Assign access to people. For accounts that work under one profile, see Manage agent accounts. The rules
- Only locations of the company’s own organization that are shared with the company can be used.
- A limit applies to one agent or to one user profile of the company. Exactly one of the two must be sent, never both. When you filter the list by both, the agent wins.
- At least one location is required, without duplicates. Each must exist, be of type location, not be deleted and be shared with the company.
- Creating limits is all or nothing. If the person is already limited on any listed location, nothing is created. A limit that was lifted does not count.
- Lifting is also all or nothing. Every listed location must currently carry an active limit for that person, otherwise nothing is lifted. A lifted limit can be created again.
- The effect of a limit is that the location counts as not eligible, with the reason restricted, wherever location eligibility is checked. Nothing else is changed in stock, accounting or notifications.
- Accounting access is managed in the organization space with a person’s account. Agents, company sessions and client sessions cannot use it.
- A grant targets one actor: the profile assignment of a person in the organization, or an organization agent. Its domain is accounting, the only one today. The targets are the organization itself or any of its companies, between 1 and 100 per call, without duplicates.
- A target already granted to the same actor is refused, even if it was granted in an earlier call, and then nothing is granted. Revoking works the same way: every listed target must be granted, otherwise nothing is revoked.
- Revoking deletes the grants. The person loses access to those books at once, and the grant can be created again. Grants also disappear when the person’s profile assignment, or the agent, is deleted.
All the actions of this topic
- List access grants: Shows which companies or the organization each member or agent account can access in the accounting books.
- Grant accounting access: Gives a member or organization agent account access to the accounting of chosen companies or the organization itself.
- Revoke accounting access: Removes a member or agent account access to chosen companies or the organization accounting.
- List locations available to my company: Lists the locations shared with the current company, so access limits can be set on them.
- List location access limits: Lists the location restrictions of the current company: each restriction bars one agent account or user profile from using one location. Can be filtered by location, agent account or user profile.
- Bar a member from locations: Bars an agent account or a user profile of the current company from using the listed locations. The locations then count as not eligible (reason restricted) for that person in the location eligibility checks. Answers with the created restrictions.
- Lift location restrictions: Lifts the restrictions that bar an agent account or a user profile of the current company from the listed locations. Lifted restrictions can be created again.
