Edwige Assogba owns the bar Le Palmier and buys her drinks from Dépôt Houngbédji in Porto-Novo. When her account is large, she pays by cheque. Fifamè Sossou, the depot’s manager, used to keep these cheques in a drawer and write the bank’s answer in a notebook weeks later. Last month one cheque came back unpaid, and nobody could say which delivery it had paid for. This page follows a cheque from the moment it is received to the moment the bank pays it, or refuses it. The same steps apply to any business that accepts cheques from its customers.

Who works where

A cheque is first held by the company that received it, and Fifamè works in the company space. A company may belong to an organization that collects the cheques of its companies. Codjo Houngbédji, the owner, then works in the organization space, on the book of the organization or of the company. Each side acts only on the cheques it holds. The organization space has its own copy of most actions, listed at the end of the page.

Follow the cheques you hold

Fifamè sees what is still to deposit or to collect with List cheques, and opens one with View a cheque to read its status and its history.

Take it to the bank

When Fifamè brings Edwige’s cheque to the bank, she records it with Deposit a cheque at the bank. The cheque is now in collection. No money has moved yet.

Hand it to the organization

Some cheques are collected by the organization instead. Fifamè uses Hand a cheque to the organization. The organization then holds the cheque, and Codjo can deposit it from his side with Deposit a cheque at the bank. If the handover was a mistake, Codjo undoes it from his side with Undo a cheque step, as long as nothing was recorded on the cheque since. If the organization does not deposit a cheque it holds, it gives it back to its company with Return a cheque to its company. An older way to hand over a cheque, Transfer a cheque, keeps a transfer record for each payment. List cheque transfers shows these records, and Cancel a cheque transfer gives such a cheque back to the company, as long as nothing was recorded on it since.

The bank pays

When the money reaches the account, the organization records it with Confirm a cheque was paid, with the money account and the bank fee, if any. The cheque is settled.

The bank refuses

If the bank refuses the cheque, the organization records it with Record a bounced cheque. The cheque is unpaid, the customer’s payment no longer counts, and Edwige owes the money again. Fifamè then has three choices: If a customer’s repayment by cheque bounces, see also Collect customer credit.

Correct a mistake

A step recorded by mistake can be cancelled with Undo a cheque step, with a reason. Only the latest step can be undone.

The rules

  • Cheque actions need the accounting module in the organization’s plan.
  • You need access to every book an action of the organization space writes into.
  • The company space can deposit, hand over, return to the customer, replace and write off. The organization space can deposit the cheques the organization holds, settle, reject, return to the company and cancel a transfer of the older flow. Each side undoes only its own steps.
  • A deposit, a handover or a return to the company needs a cheque in status received. A bank payment needs a cheque in collection. A rejection needs a cheque in collection or settled.
  • A cheque held by the company can be returned to the customer when it is received or unpaid; an unpaid cheque stays unpaid. A cheque can be written off when it is unpaid with an open recovery, or returned after its payment was refunded.
  • Deposit, handover, return, write-off and bank steps need an event_id. Sending the same one again for the same step with the same content returns the cheque without recording the step again. Another content under the same event_id for the same step is refused.
  • Steps other than an undo must follow time order: business_at cannot be earlier than the latest step.
  • Posting dates must fall in an open fiscal period of every book concerned.
  • Only the latest step can be undone. A reason is required, as for returns, write-offs and rejections. The initial receipt, imported steps and steps already undone cannot be undone. Once a bounced or returned cheque was replaced, its rejection or return can no longer be undone.
  • Replacing a cheque is refused once it is resolved or written off: calling again is not replayed. It needs a cashier assigned to a register. The new amount must equal the cheque amount, and actual_fee_amount is refused unless the fee rule is of type actual, and required when it is.
  • Confirming a payment, or recording a rejection with a bank fee, needs a money account. When the deposit recorded one, that account is used and another one is refused.
  • A cheque can be handed over only once per payment in the older company transfer flow. A cancelled transfer still counts.
