Give the shop a location
The site. Illa registers the shop with Create a location or vehicle, type location. A location belongs to a location group, so she first creates a group “Abomey-Calavi” (see Locations, vehicles and site sharing). She shares the new location with her company when she creates it. A company cannot use a location that is not shared with it. Stock transfers point to a group, which is why the group comes first.Stock it from the warehouse
The plan. Bio Gounou, the storekeeper, plans the move with Create a stock transfer. The first step is the warehouse group, the second is the Abomey-Calavi group, with one leg between them. He lists 200 bags of cement as the goods that travel, and says that they leave from the warehouse. He chooses how transport costs would be shared between the goods, average or prorata. The transfer is a draft: no stock moves. See Plan and run stock transfers. A step that comes later. If the route needs a further step after the shop, Bio adds it with Add a transfer step. It goes at the end of the route and has no leg yet. Each pair of consecutive steps needs one leg before the transfer can start, see Transport legs, vehicles and costs. A transfer with only the warehouse and the shop does not need this step. Departure. On the day, Bio starts the transfer with Start a transfer. The first step becomes current, the 200 bags leave the warehouse stock, and he is recorded as the pilot. Arrival. When the van has loaded, Bio marks the step done with Complete a transfer step. The next step is not approved automatically. At Abomey-Calavi, someone of the company approves the arrival with Approve a transfer step, saying that the bags go to the shop, which puts them into the shop’s stock, and then completes that step in the same way. The end. When every step is done and no goods are still on the road, Bio closes the transfer with Finish a transfer. Finishing moves no stock and posts nothing in accounting. See Load goods and handle losses in transit for goods lost on the way.Let the team sell there
The register. The shop needs its own counter, so that its money is counted apart from Akpakpa. Illa creates it with Create a cash register. Prudence does not have an account yet, and a register needs at least one cashier, so Illa lists Rodrigue for now. See Set up cash registers. How customers pay. Customers will pay by MTN MoMo here too. Illa sets the register’s methods with Set register payment methods. The money account must be active, and the company must be allowed to receive money on it, which the account’s owner sets. See Money accounts and payment methods. Prudence joins. Illa invites Prudence by email with Invite a member, with a profile built for a shop manager. Prudence accepts with Accept an invitation. See Invite and onboard members and Give a new employee access. Keep her away from Akpakpa. Prudence should not count the Akpakpa warehouse. Illa bars her from it, and from the Akpakpa shop, with Bar a user from locations. See Limit access to locations and books. The restriction only bars her from the listed locations: it does not confine her to the new shop. Her counter. Last, Illa adds Prudence to the register with Add cashiers to a register. She can open it from the counter computer. See Sellers and cashiers. The rules
- Only the company a transfer belongs to can start or finish it. Another company takes part only when it holds a location of one of its steps, and only once the transfer is no longer a draft.
- A transfer needs a reason and a cost sharing method. Either it follows a saved trip, or it lists its steps and one leg between each two consecutive steps.
- A transfer starts only from the draft state, with at least two steps, one leg between each pair, goods that are tracked in stock, and a first step at a group where the company holds a location.
- A transfer finishes only when every step is done or skipped, no goods that left remain to be received, and every cost recorded on a leg is spread over the goods.
- Location names are unique in the organization.
- A register needs at least one cashier when it is created, and cashiers cannot be added to a locked register. The company must hold the right to receive money on each money account the register accepts.
- A person already barred from one of the listed locations stops the whole request: no restriction is created.
