At Illa Hardware, Rodrigue Ahouansou walks the shop floor with customers and prepares their orders. Sènami Dossou cashes at the Akpakpa counter. When Prudence Kiki starts in Abomey-Calavi, Madame Illa has to say who may do what: who prepares orders, and who is allowed to open and run that register. This page explains the two roles. The same steps apply to any business that separates selling from cashing.

Two roles

  • A seller prepares orders. A seller is either tied to a cash register or sells directly, outside any register.
  • A cashier runs a register: opens the session, cashes sales and closes it. A person must be a cashier of a register to open it.
Both are members or agent accounts of the company.

Let someone sell directly

Rodrigue sells from the floor and is not tied to a register. Illa adds him with Add a seller, giving exactly one of his agent account or member profile. A person cannot be a direct seller twice in the same company. List sellers shows direct sellers by default. To see the sellers of one register, filter on that register. When Rodrigue goes on leave, Edit a seller sets his status to active or inactive, or changes his linear POS option. Remove a seller deletes a direct seller. These two actions work only on sellers not tied to a register. Rodrigue, once connected as a seller, can read his own record with View my seller profile.

Decide who runs a register

Illa adds Prudence to the register of the new shop with Add cashiers to a register, sending agent accounts or member profiles. Each person must belong to the company and organization, and a person already cashier of this register cannot be added again. Each new cashier is active, and has no login yet. List cashiers of a register shows who can work on it. Change a cashier status activates or deactivates a cashier. Remove a cashier takes the person off the register. Nothing is deleted from the person’s own profile or agent account.

How the two roles are linked

Adding a cashier also creates a seller record for the same person on that register. The seller is active only when the register has the seller option turned on. Otherwise it is created inactive. The same applies when a cashier is activated or deactivated: the seller follows the cashier’s status, and the register’s seller option. So at a register with the seller option, the person is an active seller as well as a cashier. At a register without it, only the cashier role is active. The option is set in Set up cash registers.

The rules

  • A cash register must keep at least one cashier. The last one cannot be removed.
  • Cashiers cannot be added, changed or removed on a locked register.
  • Direct sellers are not tied to a register. Register sellers are removed with their cashier, not with the seller actions.
  • In the order lists, the seller_id and cashier_id filters use the id of the person’s agent account or user profile, not the id of the seller or cashier record.

All the actions of this topic

  • List cashiers of a register: Lists the people allowed to work as cashier on a given cash register, optionally by status.
  • Add cashiers to a register: Allows members or agent accounts to work as cashiers on a cash register. A seller record is created for each one.
  • Change a cashier status: Activates or deactivates a cashier on a register. The matching seller record is set active only when the cashier is active and the register is a selling register; otherwise it becomes inactive.
  • Remove a cashier: Removes a cashier from a register together with the matching seller record.
  • View my seller profile: Shows the seller record of the logged-in member.
  • List sellers: Lists the people allowed to sell, optionally by cash register or status. Without a register filter, only sellers not tied to a register are shown.
  • Add a seller: Lets a member or agent account sell directly, outside any cash register.
  • Edit a seller: Changes a seller status or linear POS option for sellers not tied to a register.
  • Remove a seller: Removes a direct seller who is not tied to a cash register.
