Afiavi Hounkpatin keeps the books of Boulangerie La Fournée in Bohicon. The bakery’s year runs from January to December, and every month Afiavi wants to be sure that nobody adds or changes an entry in a month she has already checked. This page follows Afiavi as she sets up the calendar of a book and closes it month by month. The same steps apply to any business that keeps accounts by fiscal year, whether it is done by an accountant or by the owner.

Who works where

Afiavi works for her firm. She opens the bakery’s book from the organization space of the firm, and the book she picks is one her access allows. The bakery’s owner can do the same work in the client space, on the bakery’s own book. The steps and the rules are the same in both spaces. Only the way the book is chosen changes.

Open a new fiscal year

For 2027, Afiavi opens a year with Create a fiscal year. She gives it a label, a start date, an end date, and the currency of the books, XOF with no decimal places. Exowpee cuts the year into one period per whole month, each labelled with the year and the month (for example 2027-01), and the last period takes any remaining days. All the periods start open. The periods created with the year cover all its days. Create a fiscal period adds a period only for dates that no period of the year covers yet: a new period must stay inside the year and must not overlap another period of that year.

Fix a label

Afiavi typed “Exercice 2027” and wants “Exercice 2027 (boulangerie)”. She renames the year with Rename a fiscal year. A period is renamed with Rename a fiscal period. Only the label can change. Dates, currency and the periods themselves stay as they were created.

Close a month

At the start of February, Afiavi has checked January. She closes it with Close a fiscal period. From then on, entries, depreciation runs, disposals and depreciation rollbacks dated in January are refused. She follows the state of each month with List fiscal periods and View a fiscal period. She must close months in order. January must be closed before February can be. There is no action to reopen a period. When the last period of the year is closed, the next step is to close the year itself. It is covered in Close the fiscal year.

The rules

  • The accounting module must be part of the organization’s plan.
  • The book must have accounting enabled. In the organization space, the book must be one the caller’s access opens.
  • A fiscal year needs a label, a start date, an end date, a currency code of three characters and a number of decimals between 0 and 30. The end date must be after the start date. The dates cannot overlap another fiscal year of the book.
  • Creating a year creates its periods automatically: one per whole month from the start date, labelled year-month, the last one absorbing any remainder, all open.
  • A new period needs a label that is unique within its year and dates inside the year that do not overlap another period of that year. The end date cannot be before the start date.
  • Only the label of a year or a period can be renamed. Sending no label leaves it as it is. Renaming is not blocked when the year or period is closed.
  • A period can be closed only when it is not already closed and every earlier period of the book, in any year, is closed. No action of this topic reopens it, and reopening a fiscal year does not reopen its periods.
  • To close the last open period of a year, the previous year must already be closed. If it closed with a result other than zero, that result must have been allocated.
  • In the organization space, the first identifier in the path is the book, even where the generated reference names it after the year or the period. The year or period itself is given in the second identifier.
